Getting in touch

Things you'll need to take part

We recommend that all participants join the event via a laptop or desktop computer if possible, especially if you require BSL interpretation or support with a visual impairment - unfortunately, it is much trickier to navigate the event spaces using a tablet or a smartphone.

However, if you only have access to a tablet or smartphone, don't worry - let us know in advance via email ([email protected]) and we will support you and make sure you still get the most out of D&D.

Other things you'll need are a stable Internet connection and the free Zoom app.

 


Support during the event

The Improbable team will be present at all times if you need any support during the event itself. Our team can help you to:

  • Understand the Open Space Technology process and find your way around
  • Explain how the online platforms work and solve any technical issues
  • Post your sessions on the Marketplace
  • Read the Marketplace and find the breakout spaces you would like to visit
  • Take notes and create your report
  • Answer any questions you have and clarify anything that is unclear or confusing.

Our event's Access and Wellbeing Officer is Griffyn Gilligan - he can be your first point-of-contact for any access or wellbeing-related concerns. He is also a qualified Mental Health First Aider. If you would like to get in touch with him at any point during the event, you can reach him on 07542 884264.

In addition, at least one facilitator from Improbable will be stationed in the Main Space throughout the event - head back to the Zoom for the Main Space to get in touch with them.

Improbable team members will also be in different breakout spaces during the event - they will be identifiable by a Red Heart Badge. Feel free to flag them down and ask for support if you see them.

 


Orientation sessions

We will be hosting two 30-minute orientation sessions on Friday 5th February 2021 (10:30am and 5:30pm) - these are optional sessions, but if you would like a chance to familiarise yourself with the online tools we'll be using, we will explain how they work and answer any questions. If you have any access needs, we would highly recommend that you to attend one of the orientation sessions - let us know in advance if you'd like to join one: [email protected].

 


Deaf and hard-of-hearing participants

Live captioning and British Sign Language (BSL) interpretation will both be provided during the morning and evening gatherings each day (i.e. when everyone comes together in the Main Space).

After this, we can arrange either live captioning or BSL interpretation for the breakout sessions, depending on how you would prefer to work. Please indicate your preference in the access section on the booking form when you purchase your ticket - we will then be in touch with you to confirm the arrangements.

We will also set up separate WhatsApp groups for the BSL users and the live caption users - you can use these to communicate with the Improbable team members, as well as the interpreters or captioners. We will liaise with you in advance to ask for your mobile number and consent to be added to a chat group.

Alternatively, you are also welcome to bring your own BSL interpreters or live captioners if you prefer to use your Access to Work allocation. You don't need to buy tickets for your own interpreters, please just let us know they are coming and we will allocate them a free place.
 

Option 1: Live Captions

During the morning and evening gatherings, you can view captions within Zoom. To turn on captions in Zoom, click the Closed Captions button at the bottom of your Zoom Window, then click Show Subtitles to toggle captions on or off.

For the breakout sessions, you will be assigned a captioner who will follow you to the breakout session(s) you would like to attend. They will then provide live captions via a personal web stream (StreamText) that you can open in your web browser:

If you’re working with a live captioner, we will make sure that you are connected via WhatsApp - it's the easiest way to let them know if you would like to go to a different breakout space. If you’re experiencing any difficulties during the event (or you get split up from your captioner), come back to the Main Space and an Improbable facilitator can help you.

 

Option 2: BSL interpretation

During the morning and evening gatherings, BSL interpretation will be available in Zoom. You can pin the interpreter's video (see screenshot below) to make sure that you are able to see them at all times. We will be swapping interpreters every ~20 minutes, and we will support you with finding the "incoming" interpreter so that you can swap your pinned videos.

During the breakout sessions, you will be assigned 2 BSL interpreters who will follow you to the breakout session(s) you would like to attend. Similar to the gatherings in the Main Space, we recommend that you pin the active interpreter’s video in your Zoom chat so you can see them at all times.

We also recommend using a “hard-wired” Ethernet connection for your laptop to prevent connectivity issues – click here for more info.

If you’re working with BSL interpreters, we will make sure that you are connected to them via WhatsApp - it's the easiest way to let them know if you would like to go to a different breakout space. If you’re experiencing any difficulties during the event (or you get split up from your interpreters), come back to the Main Space and an Improbable facilitator can help you.

 


Blind and Partially Sighted participants

Unfortunately, the Qiqochat platform we use has not yet adopted a design that can be easily read by screen readers (such as NVDA or JAWS); in addition, it may be difficult to navigate the Qiqochat website using keyboard-only controls.

However, we have developed a workaround which means that participants can manually join any of the Zoom video chats directly by using the Zoom Meeting IDs. To help with this, we can prepare a Word document containing a list of all the breakout spaces and sessions titles, alongside the Zoom Meeting ID numbers for each space. You can then use this document as a reference to throughout the event and we will update it as needed if new sessions are called.

If you require this, please let us know in advance by emailing [email protected] and we can provide you with more detailed support. Improbable team members can also be on hand during the event to help participants navigate the spaces, call sessions or take notes.

Neurodivergent participants (including dyslexia)

Before the event:

We'll be offering two optional orientation sessions before the event on Friday 5th February to explain the technology and the processes we'll be using – you'll receive more information via email about how to join one of these sessions once you've booked your ticket. If you can't make it to either of these sessions, let us know and we can arrange a virtual tour and orientation at a time that suits you - get in touch with [email protected] or call 0207 240 4556.
 

During the event:

Devoted & Disgruntled 2021 is a relaxed event, so feel free to log off, turn off your video or mute yourself whenever you want. You can move around your own physical space whenever you need to. Stimming, tics, movements, and sounds are also welcome in any of the virtual event spaces.

We will also have a dedicated Quiet Space in case you want to remain in the virtual event, but in a silent environment.

Your facilitators will introduce themselves at the beginning of your event and they will be in the Main Space video chat throughout the event to answer any questions you have and clarify anything that feels confusing. Additional info for dyslexic participants:

During Opening Circle, your facilitators will verbally describe the Open Space process, so no prior reading is required. If you want to read or add notes to a session, you can do this using the Notepad in each breakout space – you can set the font type to a dyslexia-friendly font by clicking the "Settings" button and changing the font type (see screenshot below). Reports/notes can also be sent in via email.

Trans and Non-binary participants

We welcome participants of all genders at Devoted & Disgruntled events. Please feel free to include your pronouns in your Zoom display name.

If you want to change your display name on Zoom in the Zoom Meeting, hover your cursor over your own video box, then click the small ellipsis (…) icon that appears. Click Rename. This will open up a pop up and you can enter a new name.

Carers and Personal Assistants

There is free entry for Carers / Personal Assistants. This can be arranged by emailing [email protected] or by phone on 0207 240 4556 (textphone: 18001 0207 240 4556).

If you and your carer / personal assistant would like to familiarise yourselves with the online platforms we'll be using ahead of the event, you can attend one of the optional orientation sessions before the event on Friday 5th February. If you can't make it to either of those sessions, let us know and we can arrange a virtual tour and orientation at a time that suits you - get in touch with [email protected] or call 0207 240 4556.

 


Putting together your reports

If you call a session during Devoted & Disgruntled, we encourage you to make some kind of report of the session. You can use the Notepads in each breakout space to take written notes whilst – or after – you have your discussions, and use those notes as a basis for your report. However, your report doesn’t have to be writing: your report could also be a photo, a audio/video recording, a drawing or a dance – it’s up to you! You can also ask others in your session to help with note-taking too.

Once you’re finished with your report, you can send it to us ([email protected]) and we’ll add it to our live document in the Newsroom so everyone at the event can read, listen or view it.
